Staff Addendums

Staff addendum letters are an attachment to an employee original offer letter and can be used to modify or clarify a portion of the original offer on a temporary or permanent basis.

Staff addendum letters are auto-generated through Avature, however, units will be required submit an AAF/MOU outlining the addendum details and agreement.

Units will need to submit staff addendum requests to cas-staff@colorado.edu and detail the temporary and/or permanent changes they would like to make to the staff member(s) in their unit. The College of Arts and Sciences will review the request and guide units through the appropriate process.


Types of Staff Addendums

This addendum only changes the employee's working title. The request does not make any changes to the position's job code, salary, or budget.

A&S will work with units to ensure the updated working title aligns with the position's job code, level and responsibilities.Ìý

This addendum updates the position's supervisor. This request does not make any changes to the position's job code, salary, or budget.Ìý

An addendum is sometimes needed to correct a new employee's start date. Reasons range from a background check was not completed in time or the original offer letter was not fully signed in time for the employee to provide adequate notice to their current/previous employer.

This addendum does not make any changes to the position's job code, salary, or budget.

Temporary additional pay is provided when an employee takes on responsibilities outside of their normal scope of work. One common reason for this addendum is to cover a vacancy within a unit.Ìý

A temporary additional pay addendum does not change an employee's base pay, salary, funding or budget.

The following is a list determining the amount of pay an employee receives:

  • 5% Temporary Increase – employee takes on a larger volume of work.
  • 10-15% Temporary Increase – employee takes on similar level of job duties but a larger volume of work.
  • 20% Temporary Increase – employee takes on higher level job duties.
  • Flat Temporary Rate – the unit can request a flat rate instead of a percentage. College of Arts and Sciences'ÌýHuman Resources will review the unit flat rate request and ensure it aligns with the additional work assigned.

A&S Staff Addendum Process

  1. Unit to review the types of addendum requests and submit a ticket to cas-staff@colorado.edu.
  2. College of Arts and Sciences' Human Resources will review the request(s) and guide unit on which addendum AAF/MOU is required.
  3. Unit submits Addendum AAF/MOU for approval routing.
  4. College of Arts and Sciences' Human Resources works with unit until AAF/MOU can move forward in the process.
  5. AAF/MOU is approved with a copy sent to unit.
  6. College of Arts and Sciences' Human Resources submits an addendum letter request to Central Human Resources' for approval routing.
  7. Addendum letter approvers will receive an email from ÀÏ¾ÅÆ·²è Talent Acquisition with a link to review and approve the addendum letter.
  8. Approved addendum information will be entered in HCM by Central Human Resources' Coordinator.
  9. Central Human Resources Coordinator to send HCM confirmation email to unit and the College of Arts and Sciences' Human Resources.Ìý

FAQs

Temporary Pay is determined using the employee's base monthly salary and the following criteria:

  • 5% - 9% Temporary Increase - Employee takes on a larger volume of their current work.
  • 10% - 15% Temporary Increase - Employee takes on a significantly larger workload from similar duties.
  • 16% - 20% Temporary Increase - Employee assumes higher-level responsibilities beyond their current role.Ìý

Typically, the signing order for any addendum will be:

  1. A&S HR Specialist
  2. Supervisor of Employee
  3. HR Appointing Authority

The intention is to keep the list short for faster processing. However, this list can be adjusted as needed.
